What your notetaker says about your company

Ask a company how it takes meeting notes and you learn more about how far along it is with AI than any strategy document will tell you.

At one end of the spectrum, people run their own software. Someone picked Otter, someone else Fireflies, and a few people are using botless notetakers without mentioning that they do. That company is not ahead. It has a dozen private archives and a compliance problem it has not detected yet. It’s also far removed from having a shared memory.

At the other end, the company settled on one tool and does something structural with what that tool captures. Notes reach the CRM. A manager can see where the team keeps stalling in the same part of the sales conversation. That company is ahead. The notetaker is the least interesting part of why.

Notetaker buying advice is a good start, but picking a tool is only the first step. The bigger question companies should worry about is what happens to the notes once everyone leaves the call. The answer is the difference between a searchable graveyard and an AI-legible memory.

We mapped the market and found twelve commercial tools. We also included the three you may already pay for without realising it, the open-source options, and the legal questions sitting underneath all of them.

Three things surprised us.

Flemish transcribes measurably worse than Netherlands Dutch. If your meetings run in Dutch, factor in correction time.

Google and Microsoft both started restricting third-party notetaker bots this year while promoting their own meeting AI. Google routes them into a default-deny queue, Microsoft flags them in the Teams lobby. If you are about to standardise on a bot-based tool, know that the platforms are narrowing that path.

The sticker price rarely survives contact with a real invoice. Seat tiers, AI credits and module stacking can take a tool advertised at fifteen dollars per user and triple it.
